Conference Headshot Station

A working studio on your floor. Delegates walk up, sit down, and leave three to five minutes later with a headshot they will actually use.

The busiest stand at the conference.

A free professional headshot is the one thing every delegate wants and nobody has time to arrange. Stations I’ve run at Harvard and MIT events drew queues all day. As a sponsor activation, it puts a brand in front of a line of people who chose to stand in it.

Logistics

What it needs from your floor plan.

Footprint

10 ft × 10 ft

Nine-foot ceiling minimum and access to power. That is the whole requirement — it fits a booth, a foyer or a spare breakout room.

Throughput

70–80 people a day

A full day covers 70 to 80 people, a half day 35 to 40. Three to five minutes each, depending on the queue.

Direction

For people who hate photos

Most delegates arrive apologising for how they look. Clear, quick direction gets a real expression out of them before they have time to freeze.

Every station includes

  • Photographer on site
  • Full studio lighting
  • Backdrop setup
  • Directed posing
  • Colour grading
  • Light cropping
  • Private online gallery
  • High-res digital downloads
  • Setup and breakdown
  • Business insurance & COI

Retouching is available as an add-on. Teams over 75 people run across multiple days.

Delivery to delegates

They get it before they get home.

Images reach each person within minutes through a private gallery, which can carry your event, company or sponsor branding.

For evening events

A gala wants a portrait lounge, not a headshot queue.

Same footprint, different experience: guests are photographed in couples and groups, handwrite a message on their portrait, and everything is bound into one keepsake album for the host.
